Uploading in the portal

Read how you can upload documents via the Zenvoices portal.

Under ‘Upload & process’, you can manually upload documents. Click the ‘Upload documents’ button to open the pop-up:

  • Choose the desired journal.

  • Drag the files into the window or click the ‘Select files’ button to manually select files.

  • If automation is enabled: when uploading documents, you can choose whether automation rules should be executed.

ZIP files are automatically extracted after uploading. A separate document is created for each file in the ZIP archive.

Tip

  • Are there guidelines for uploading documents? Then set up a notification via the administration settings (tab: Other) in both Dutch and English. The visible language depends on the environment language set for the respective user.

  • Create a ZIP file if you want to upload large quantities of files. This will significantly speed up the upload process.

  • Do you want to add an attachment to a new booking or to a booking proposal? Simply drag the attachment into the screen and drop it anywhere:

UBL invoices

For UBL invoices, both an .xml file and a .pdf file are often supplied. When these are delivered in one ZIP file, Zenvoices automatically recognizes the related files and treats them as one document.

If a PDF document is embedded in a UBL document and no separate PDF file is present, it will be added as an attachment to the booking when processing the UBL document.

Additional modules

When the additional modules Document Management and/or Upload & Process document categories are enabled, these extra fields will be available when opening the pop-up window.
