Why manage master data in Zenvoices?

When you manage multiple administrations with different accounting packages and/or different chart of accounts, you may lose overview. For example, the general ledger account 'Fuel' may have a different name in each administration and the coding may also differ per administration. Other master data may also differ per administration, such as the coding and name of VAT codes and payment terms. By creating tags in Zenvoices and linking them to the relevant master data, management becomes easier.

Via Manage / Administration / Master data the master data of the administration can be consulted. Here you can also see, among other things, which RGS codes are linked to general ledger accounts.

Depending on the accounting package, the following master data can be consulted:

  • Payment terms

  • VAT codes

  • VAT scenarios

  • General ledger accounts

  • Cost units

  • Cost centers

  • Currencies

How does it work?

Tags can be added to the master data above. Tags for master data can be created per administration (via Manage / Administration / Tags) and at environment level (via Manage / Environment / Tags). Read more about the use of tags in this article.

  1. Select the administration where you want to add or remove tags from the master data;

  2. Go to Manage / Administration / Master data;

  3. Select the desired entity;

  4. Select one or more rows;

  5. Then add a tag (or remove it) via the 'Bulk action':

Tip: use tags in combination with booking templates at environment level to create one template for for example fuel that can be applied in all administrations, regardless of differences in chart of accounts, VAT codes, payment terms, etc.
