Automating with RGS, the Reference General Ledger Scheme

RGS stands for Reference General Ledger Scheme. It is a standardized chart of accounts in the Netherlands that allows financial data to be coded consistently. Do you work in multiple administrations and with different chart of accounts structures? With RGS you create a strong foundation for scalable automation in Zenvoices.

How does RGS help in Zenvoices?

RGS (Reference General Ledger Scheme) supports scalable and uniform automation within Zenvoices. By linking general ledger accounts to standard RGS codes, Zenvoices uses central logic that can be applied across different administrations, even when they use different chart of accounts structures. It is of course also possible to apply the RGS chart of accounts itself in your accounting. In that case you do not need to link existing general ledger accounts, but this has a significant impact because you will be changing the existing general ledger accounts used in the accounting.

Central configuration of booking logic

With booking templates you simplify and automate complex bookings. You configure booking templates efficiently at environment level (or for multiple software accounts at once) based on RGS codes. These templates are not tied to specific administrations. Zenvoices automatically links them to the correct accounts per administration based on the RGS code.

Advantage: one central template works directly in multiple administrations.

Consistent processing of documents

When processing documents (such as purchase invoices from known suppliers), Zenvoices applies the same template across all administrations. Thanks to the RGS mapping, Zenvoices automatically books to the correct general ledger account.

Advantage: uniform booking across multiple administrations without manual actions.

Efficient management and maintenance

You only need to make changes to booking logic once. Zenvoices automatically applies these changes to all administrations that are connected through RGS.

Advantage: centralized management, less maintenance, and a lower chance of errors.

Flexible support for exceptions

You can configure client-specific exceptions per administration with customized templates or additional rules without changing the central structure.

What does this require from your accounting package?

The accounting package must support RGS or allow accounts to be assigned to RGS codes (also known as mapping). Ideally you manage this assignment centrally or import it in bulk.
