Receive Invoices via JoinData

Learn how to receive invoices via JoinData in Zenvoices.

With the JoinData connection in Zenvoices, you can receive invoices via JoinData and automatically import them into your Company.

Introduction

Zenvoices supports JoinData as an invoice channel. This works in a similar way to Peppol, but specifically for the agricultural sector. With this channel, you automatically receive e-Dairy and EAB invoices in Zenvoices, for example invoices for milk, livestock and animal feed.

What is JoinData

JoinData is a platform that lets agricultural businesses decide for themselves which organisations get access to their company data, such as accountants, advisors, suppliers and software vendors. Through the connection with Zenvoices, invoices can be shared and processed in a secure and controlled way.

Benefits of the connection

The connection with JoinData means invoices no longer need to be delivered separately. Once you've given permission, Zenvoices automatically retrieves invoices from JoinData and processes them straight into your Company.

This offers a number of benefits:

  • You don't need to manually download and upload invoices.

  • Data exchange is faster and more secure, since it takes place directly between JoinData and Zenvoices.

  • Invoices always arrive as structured e-invoices, which means they can be read automatically.

  • You keep full insight via JoinData into which parties have access to your data, and you can revoke that permission at any time.

Which invoices can you receive

You can receive two types of invoices via JoinData.

  • e-Dairy invoices, identified by the UBN number. These are sales invoices, for example for milk deliveries.

  • EAB invoices, identified by the CoC number. These include both purchase and sales invoices, for example for livestock and animal feed.

How it works

Invoices available via JoinData are automatically retrieved and processed in Zenvoices every day. You don't need to take any action yourself.

Making it available in the Organisation

  • Go to 'Manage' / 'Organisation' / 'Settings' / 'JoinData' tab.

  • Enter the details in 'Client id' and 'Client secret'. If you don't have these details, request them from your JoinData Delivery Manager.

  • Check 'Sandbox' if you want to connect to JoinData's test environment.

Registering in the relevant Company

  • Go to the relevant Company and navigate to 'Manage' > 'Company' > 'Channels', then click the 'New channel' button in the top right.

  • Select 'JoinData' and click 'Next'.

  • Enter a name in the 'Name' field and go to the 'Settings' tab.

    • Under 'Retrieve invoices from', you set the date from which invoices are retrieved. This date is automatically updated to the current date every day. You can manually change the date to an earlier one to retrieve invoices retroactively. The further back this date is, the more invoices need to be retrieved. This may cause JoinData to return a time-out message. If that happens, try again after a few minutes.

    • Check 'e-Dairy invoices' to retrieve sales invoices identified by the UBN number.

    • Check 'EAB invoices' to retrieve purchase and sales invoices identified by the KvK number. If the invoice type can't be determined from the e-invoice, 'Purchase' is selected by default.

Frequently asked questions

Can I also send invoices via JoinData with Zenvoices? No, Zenvoices isn't designed for creating and sending invoices. Invoices you receive are processed in Zenvoices and then exported to the connected accounting system. Creating and sending sales invoices is done from the accounting system. Sales invoices you've sent can then be imported into Zenvoices and processed automatically.
