Automatically read documents from trusted senders

Read how documents can automatically be read when they come from trusted senders.

By using the trusted list it is possible to automatically read documents from trusted senders after they are received.

How the trusted list works

The trusted list is a list that determines whether a document may be automatically read.

Example: automatically read documents from sender info@zenvoices.com.

Criteria can be added to the trusted list based on the following fields:

  • Origin

  • Channel, channel name or channel connection

  • Sender

  • Read filename and extension

Manage trusted list

To manage the trusted list go to Manage / Administration / Automation or Manage / Environment / Automation and click 'Trusted list'.

Under Manage / Administration / Automation an overview is shown of the criteria that apply to the current administration.

Under Manage / Environment / Automation an overview is shown of the criteria that apply at environment level. Per criterion it can be configured for which administrations it applies.

Add criteria to the trusted list

Click 'New criteria' to create a criterion that allows this sender to submit documents to the administration for processing.

Wildcards (*) can be used in text fields. A wildcard represents any sequence of characters and allows you to accept everything from a specific email domain.

Example: *@zenvoices.com matches all values that end with @zenvoices.com. This allows documents from all people or departments sending emails from this domain to be marked as trusted.

Add to the trusted list from Upload & read

From 'Upload & read' you can easily add a sender to the trusted list of the administration by clicking 'Read & add to trusted list' in the overflow menu.

Please note: this option is only available when automation permissions are assigned via app rights.

This ensures that the document will automatically be read in the future.

Points of attention

  • The trusted list is not applied to documents that were manually uploaded or created by splitting or merging.

  • Per administration a maximum of 500 criteria can be created. This limit can be increased on request via the helpdesk.

  • Per environment a maximum of 250 criteria can be created. This limit can be increased on request via the helpdesk.

  • Matching on text fields is not case sensitive.

  • Automation rules are executed before the trusted list is applied.

  • If a document is automatically read based on the trusted list, this will be shown under Upload & read / Archive / Show details.
