Sending PEPPOL response messages

Read here how automatic messages can be sent to suppliers connected to the PEPPOL network.

When your company is connected to the PEPPOL network, you can use the Zenvoices PEPPOL connection to automatically send response messages to your suppliers. In this article, we provide further explanation about what PEPPOL is, how it works, and how to request a PEPPOL connection.

Settings

When requesting the PEPPOL connection, you can optionally indicate whether response messages should be sent. By default, this functionality is disabled. The option for response messages can also be enabled or disabled afterward for existing PEPPOL connections.

Please note: sending PEPPOL response messages involves costs. You can find the applicable rate under Manage / Environment / Subscription.

Supported message types

The following message types are supported by Zenvoices:

  • Send receipt acknowledgment messages (AB): immediately when the PEPPOL invoice is received in your Zenvoices environment.

  • Send accepted and approved messages (AP)*: immediately when the PEPPOL invoice is approved at the end of the authorization process.

  • Send rejected messages (RE)*: immediately when the PEPPOL invoice is rejected during the authorization process. When rejecting, a reason can be entered, which will be sent to the supplier.

Please note: the response messages marked with an asterisk (*) can only be sent in Zenvoices administrations where the additional Authorization management module is activated.

Please note: not every accounting package supports receiving PEPPOL response messages. Consult your accounting package documentation to determine whether this applies to your accounting package.

Please note: PEPPOL response messages are only sent if the invoice sender supports them. If, when sending response messages from Zenvoices, it appears that the sender cannot receive response messages, the message will not be sent and therefore will not be shown in the timeline. In that case, no costs will be charged.
