How can I create or modify a supplier or customer?

Creating relationships during booking

In the booking screen, click the icon shown below to create a new relationship

Dutch relationships

If Zenvoices recognises the Chamber of Commerce (CoC) number on the invoice, Dutch administrations will receive a suggestion to retrieve the company details from the Dutch Chamber of Commerce register. For Belgian administrations, the lookup is based on the VAT number. Click ‘Import details’ to retrieve the data.

The name and address details will be populated from the register and supplemented with data recognised from the invoice (CoC number, IBAN and VAT number). You can complete any empty fields manually. Click ‘Save’. The relationship will then be created in Zenvoices and also immediately synchronised to your accounting software.

Creating relationships via Manage / Administration / Relationships

You can also create new relationships via Manage / Administration / Relationships. Click ‘New supplier’ or ‘New customer’. By clicking the magnifying glass icon, you can search the Dutch Chamber of Commerce register or international business registers by company name or CoC number. Select the correct entity to import the details automatically.

Depending on the accounting software, the search code field may be populated automatically.

Relationship codes

For accounting software packages that support custom relationship codes, you can define your own numbering sequence in the administration preferences. You can configure a custom sequence for both supplier and customer codes. When this option is enabled, Zenvoices deviates from the default auto-numbering maintained in the accounting software. For example, if you enter 10000 as the starting supplier code, the numbering will continue as 10001, 10002, 10003, etc. If supported by the accounting software, letters can also be used in the sequence. This allows you to distinguish between relationships created in Zenvoices and those created directly in the accounting software.

Modifying relationships using bulk actions

Via Manage / Administration / Relationships, you can edit master data and Zenvoices-specific settings by clicking ‘Edit’. When selecting one, multiple or all relationships, you can use ‘Bulk actions’ to apply changes to all selected relationships simultaneously.

The following settings can be modified:

  • Payment settings*

    • Include in Zenvoices payment orders

  • Payment discount*

    • Percentage

    • Discount calculation method

    • VAT calculation method

  • Scan and recognition

    • Document type determination

    • Date recognition preference

  • Other

    • Do not prompt to update master data from the booking screen

    • Show warning if the IBAN on an invoice differs from the supplier master data

    • G-account amount**

    • G-account relationship** (only in combination with KING ERP and SnelStart)

Under booking proposals the following can be changed:

  • Booking type***

    • Automatic

    • Financial booking

    • Purchase invoice

  • Booking method

    • Master data

    • Last booking

    • Booking template

Please note: If you change the booking method for existing relationships, this only applies to the current relationships. To apply this to future relationships as well, please refer to this article explaining how to configure the default booking method for new relationships.

To apply changes, select the relevant relationships and choose Bulk actions / Edit.
