What is an Intrastat declaration?
Organizations are required to submit an Intrastat declaration regarding intra-community trade when a certain financial threshold is exceeded. This means: when the trade concerns transactions between different (European) member states. This can be from a European member state, or towards one. In other words: Intra-Community Acquisition and Intra-Community Supply. The Intrastat declaration includes, among other things, the goods codes, the quantity and the weight.
Settings
Zenvoices supports Intrastat registration for Belgian administrations connected to Exact Online, Octopus and Odoo.
Via the booking screen settings it can be indicated which Intrastat rule fields should be visible in the booking screen.
Per journal it must be configured in Zenvoices whether Intrastat entry applies or not. This setting can be found in the journal settings via Management / Environment / Administrations. Standard values can also be entered here, such as:
Region
Transaction
Mode of transport
Delivery terms
Goods code
The fields above are taken from the last booking when the booking method 'Last booking - VAT recognition' applies. The fields below must always be entered manually per booking:
Statistical value (this field is not supported for Octopus, the line amount is used instead. In combination with Exact Online this field is automatically filled with the line amount)
Statistical quantity
Net weight
Per account it can be indicated which fields should be taken from the last booking. For this, consult the creditor master data and specify under 'Booking proposals' which line fields should be taken over instead of the standard settings. These settings can also be managed at journal level.
Points of attention
Exact Online
The field 'Country of origin', which is only used in sales bookings, is not exported to the accounting package.
Intrastat registration is only possible when the VAT code supports this; this setting can be checked in Exact Online.
Intrastat registration is not supported for purchase invoices (in combination with Purchase to pay).
Octopus
Intrastat declarations are allowed for every VAT code, however this will only be taken over in Octopus for VAT codes that support Intrastat declarations.
The field 'Statistical value' is not supported.
Odoo
The fields Country, Delivery terms and Mode of transport are supported at booking level.
The fields Country of origin and Transaction are supported at line level.
It is required to select an article on the line if Intrastat is used.
Tip: use booking templates to record exceptional scenarios with fixed Intrastat input and use the booking method assignment rule to automatically activate these templates.
