Add comments in Upload & Importing

Introduction

For users, it may be desirable to use comments (remarks) from a sender or another user to process and approve a transaction. In addition to the comments that can be added to transactions, comments can also be added in Upload & Importing. In this way, submission users (Aanleveraar) can, for example, provide additional information about the nature of the submitted document.

Functions and features

Comments can be added to documents in various ways. In addition to comments, users can also be tagged:

  • Add comments and tag users in Upload & Importing in the portal.

  • Add comments and tag users via the mobile app.

  • Add comments and tag users via email.

By double-clicking a line in Upload & Importing, the details window opens. By typing @ in the comment field, you can select a user to tag. In addition to the comments field, attachments and executed automation rules can also be viewed here:

Add comments and tag users via the mobile app

When a document is submitted using the mobile app, it is possible, (after selecting the administration and journal) to include Comments for the processor.

Add comments and tag users via email

Comments can be included in an email by placing them between {* text *}. By starting with {* and ending with *}, the text between these markers will be recorded as a comment. Users who have access to the administration can be tagged by adding @username or @full name of the user (as entered in the user settings) between the markers.

Based on comments added via email, automation rules can be configured for Upload & Importing. This makes it possible to automatically process, delete, move, and/or assign a destination to documents based on the comment included in the email.

User permissions

The following user permissions can be configured:

  • Upload & importing

  • Upload & importing | Document remarks

  • Upload & importing| Document remarks | Add remarks

  • Upload & importing| Document remarks | Delete remarks (all remarks)

  • Upload & importing| Document remarks | Delete remarks (own remarks only)

Additional settings

  • By default, comments are transferred to Transactions and Document management for new transactions. If this is not desired, this can be disabled in the administration preference settings.
