Navigating the mobile app
With the Zenvoices app, working on the go is just as easy as in the web portal. You send receipts and invoices to your company, consult the archive, and authorise invoices waiting for you. This article shows how the app is structured and how to use its main features.
The side menu
You access all parts of the app via the side menu, which you open by clicking the hamburger icon at the top left. The menu is organised into groups and shows the username you're logged in with at the top.
Which parts you see depends on your user permissions. If you don't have access to the archive, you won't see the 'Archive' section. If you only have permissions for 'Documents' or only for transactions, you'll only see the section for which you have those permissions.
Choosing a company
At the top of the side menu, you choose the company you're working with. This choice applies to the entire app: 'Inbox', uploads, and 'Archive' (both Documents and transactions) always use the same selected company.
If you switch companies, the app automatically refreshes with the data of the newly chosen company. Your choice is also saved after you close and reopen the app.
Uploading documents
Using the camera function on your smartphone or tablet, you take a photo of a receipt or invoice. The photo is automatically cropped, and you can add multiple photos or documents at once. You can then optionally add a subject, select a journal, and add a comment. After confirming, the document is sent to your company.

The upload screen has two tabs, so it's clear whether you're uploading a document for 'Inbox' or for 'Archive'. The 'Archive' tab shows all documents uploaded via the mobile app, i.e. your upload and import archive.
Selecting the destination
If you use the 'Document management' module, which lets you store documents without a financial transaction in the archive, you can also select a category from 'Document management' alongside the journal.
- If 'Journal' is marked green, you can select a journal.
- If 'Document management' is marked green, you can select a category from 'Document management'.
Tip: Journal and category are optional during uploading. If you don't fill these in, you can still add them later in the web portal.
Sharing receipts and invoices from other apps (Android only)
On Android, you can share images and PDFs directly with Zenvoices from other apps, for example from your gallery, email, or file manager. The shared file enters the same upload flow as described above, **so that you complete the upload** _is this sentence correct?_ in the usual way. You can also share multiple files at once.
Consulting the archive
In 'Archive', you view the archived documents and transactions of your company. Archive consists of two views:
Transactions: your archived financial transactions.
Documents: your archived documents.
Within 'Archive', you can:
Search, filter, and sort, for example by company, financial year, journal, and account. These filters remain consistent when you switch between 'Documents' and 'Transactions'.
Open a document or transaction for a detailed view with attachments and comments.
Browse long lists, which load more results step by step as you scroll.
Please note: you'll only see 'Archive' if you have permissions for it. If you only have permissions for 'Documents' or only for 'Transactions', you'll only see that section.
Mentioning users in comments
If you want to mention a colleague in a comment with an @mention, you do this via an overlay screen. The list of users is sorted alphabetically by full name.
Authorising invoices
As an authoriser, you use the Zenvoices app for Android and iOS to view the invoices waiting for your review and authorise them directly. You can add comments and consult any attachments.

Setting up notifications
Via 'Manage / Organisation / Settings', you set at organisation level whether notifications should be sent. Consult this article for more information.
Deleting a submitted document
You can only delete a submitted document while it's still visible in the web portal under 'Uploading & Importing'. If you delete the document via the mobile app, it's automatically also removed from the web portal.
