Integration with Visma AccountView

Introduction

To connect Visma AccountView with Zenvoices, the correct configuration must be set in Visma AccountView. Zenvoices communicates via AccountView.Net Web-API, the online portal of Visma for Visma AccountView users. This manual guides you step by step in setting up AccountView.

This manual is based on AccountView version 12.0 servicepack B.

A Installation of the AccountView Communication Service

It is required to install the Communication Service in the server environment. There are two options to install this:

1. Installation as part of an AccountView update

Under file locations, the option “Install runtime components” can be selected and updated. This ensures that the Communication Service is installed.

The advice is to use the default installation folder: ..\Program Files (x86)\Visma Software BV\AccountView Communication Service

2. Manual installation

If AccountView has already been installed without the required runtime components, the Communication Service can be added manually via a separate installation file (.msi).

  • This installation file is available from your AccountView supplier.

  • The advice is to follow the default settings.

Visma services activation

After installing the Windows service, the Visma services must be activated within AccountView. Follow the steps below:

  1. Open AccountView and log in with a user who has full rights.

  2. Navigate to Options / Activate Visma services and complete the dialog below

  • Tab "Welcome": If Visma.net is used, enable: Also activate Visma.net services and choose Next.

  • Tab "License": The license details are usually filled in automatically. Choose Next.

  • Tab "Communication Service": Enter the full computer name of the server on which the Communication Service is installed. Choose Next.

  • Tab "Administrator": Enter the administrator details.

    • When entering the email address, you will receive a validation code via email. Enter this and choose OK.

  • Tab "Get started": Choose Finish to activate the online environment.

3. Choose Confirm

After completing the activation procedure, an online environment is created.

  • For logging in to the AccountView.Net portal, an email with login details is sent to the specified email address.

Configuring the Windows Service

After activating the Visma services, the Windows Service must be configured.

ACS certificate installation

Steps:

  1. Log in to the portal with the administrator account that was created during the activation of the Visma services.

  2. Go to the General tab and choose the option Generate new ACS certificate.

    • This will create a certificate file. Download this certificate and save it in a recognisable location so it can be accessed quickly.

  3. Go to the installation path (Windows Explorer) of the AccountView Communication Service.

  4. Open AccountView.Net.CommunicationServiceConfig.exe

    • Choose Install certificate and select the previously downloaded file.

    • Choose Test and then Activate if the test is successful.

    • Delete the certificate file after activation.

B Connection between AccountView.Net and the Communication Service

To grant the Windows service access to AccountView, it must be linked to AccountView.

  1. Choose in the section AccountView connection the communication method:

    • COM (recommended) or AccountView Backoffice Server

  2. Create a dedicated user in AccountView (for example “WEB” with full rights).
    please note: users SYSTEM or VISMANET cannot be used for this.

  3. Enter the username and password for this user.

  4. Test the connection using the Test button.

  5. Set the same user details in the AccountView.Net portal (tab General / Modify / Save).

Windows service rights configuration

When the AccountView Communication Service needs to read or write data on network locations, a specific Windows user must be configured with the correct rights. Follow these steps:

  1. Open the Run dialog via the Windows Start button and type "services.msc". Then choose OK.

  2. The Services window opens. Search for "AccountView Communication Service" and double-click it to open the properties.

  3. Go to the Log In tab and select the option This account.

  4. Enter the credentials of the Windows user who has access to the required network locations.

  5. Choose OK to save the changes.

  6. Restart the Windows service to apply the changes.

please note: When administrations are located on network locations, these locations must be defined in AccountView using UNC paths (for example \Servername\SharedFolder) instead of drive letters such as X:\ or Z:.

Send test message

Check the setup by sending a test message:

  1. Go to the AccountView.Net portal and log in with the administrator account.

  2. Go to the General tab.

  3. Choose the button Send test message.

Please note: If a timeout message is received (for example: “No response received”), check whether the AccountView Communication Service is correctly configured and started.

Create company and configure user

An administration can only be used if it is linked to a company. With the following steps a company is created:

Create company

  1. Open AccountView and navigate to File / Administrations.

  2. Select the administration for which a company must be created.

  3. Navigate to Document / Create company.

  4. Fill in the fields "Company code" and "Company description" (do not use years).

  5. Choose Create.

  6. Navigate to Document / System master data / Companies.

  7. Select the created company and press F6 to open the master data.

  8. Check the column "Blk". New administrations are blocked by default. Remove the block only when the administration is fully ready (after the opening balance has been entered).

Release company

  1. Navigate in AccountView to Companies / Document / Visma / Register companies.

  2. In the wizard choose Next so that synchronisation takes place.

Repeat these steps for each administration/company.

Allow Backoffice Server imitation

To ensure that AccountView can communicate with Zenvoices, it is important that a user exists in AccountView. This can be a new or existing user.

With the following steps, the details for this 'communication user' are set:

  1. Navigate to Document / System master data / Users.

  2. Create a new user or select an existing user.

  3. Choose Edit / Allow Backoffice Server imitation by this user.

  4. Enter the password of the user and save the changes.

The relevant field will be automatically marked as shown in the image below.

C Adding the Zenvoices Connector App to the user

To give the user access to Zenvoices, this AccountView must be linked to the user:

  1. Go to Document / System master data / Users.

  2. Select the user who will use the app.

  3. Press F6 to open the user master data.

  4. Check the email address and choose OK.

  5. Navigate to Search / AccountView.Net apps.

  6. Navigate to Edit / Add.

  7. Press F4 and open the search window.

  8. Search for the Zenvoices Connector in the displayed window.

  9. Select the line and choose OK.

D Setting up the Zenvoices accounting integration

  1. Go in Zenvoices to Manage / Environment / Accounting integrations, choose the button New accounting integration at the top right and select Visma AccountView.

  2. Click Next, you will be redirected to a webpage to log in with the Zenvoices connector.
