Migrating an archive from another system
Would you like to migrate archive documents from another software package to Zenvoices? This is possible, provided that the correct data is available.
In this article, you will read what needs to be supplied, which data can be transferred and what to consider during migration.
Requirements for submission
Journal and transaction number must be identifiable
Ensure that the journal and transaction number can be derived from the document itself or are included in the file name.
Migrating a Basecone archive
If you are submitting a Basecone archive, this is generally not an issue. Basecone automatically adds a page containing the required information.
Separation per administration
Documents must be submitted separately per administration.
What will be visible after import?
The data visible in the archive after import depends on the information included in the file name. Typically, the following fields are available:
Journal code
Transaction number
Invoice number
Archive import within the same accounting system, new Zenvoices environment
Import and preparation costs apply. The archive content is transferred, with the exception of:
Authorisation history
Automation history
Remarks
Migration to another administration or accounting system
Transaction lines are not transferred. However, the following fields are included:
Transaction number
Fiscal year
Date
Account code
Account name
Total amounts
Currency
Description
Payment reference
Invoice number
Pricing for archive import
Archive import costs depend on the number of documents and whether you choose to include full text search. Please contact your account manager for pricing details.
Tip! Use full text search import
With full text search, you can search the full content of documents. This means you can search not only by metadata such as invoice numbers or dates, but also by words and phrases within the document text itself. This significantly improves searchability, especially for large document volumes.
Please note: enabling full text search affects the import costs.
