This function is only available for AFAS, Exact Online, Exact Globe, KING, Twinfield, Visma AccountView, Exact Boekhoud Gemak and Multivers and Microsoft Dynamics 365 Business Central.
An accrual/deferral transaction is a transaction where revenue or costs are distributed over multiple periods. This is also referred to as deferred revenue, deferred costs, a spread transaction or an accrual.
You create an accrual/deferral transaction in Zenvoices by checking 'Accrual/deferral transaction' in the transaction screen. Depending on the accounting package, fields will appear that allow you to create an accrual/deferral transaction.
Tip: Right-click on the transaction line to apply the accrual/deferral transaction settings to all transaction lines (the screenshot below originates from an AFAS administration; the layout may differ per accounting package).
AFAS
For AFAS use the following fields at line level:
From financial year and period
Until financial year and period
General ledger account (if not entered, the default clearing account configured in AFAS will be used)
please note: AFAS supports this from Profit 18. If you use a lower version, no error message will be shown and no accrual/deferral transaction will be created.
Exact Boekhoud Gemak and Multivers
For Exact Boekhoud Gemak and Multivers use the following fields at line level:
From date
Number of periods
To use accrual/deferral postings, permanence general ledger accounts and a permanence journal must be created in Exact Boekhoud Gemak and Multivers. Consult the instruction video for more information.
Exact Globe
Accrual/deferral posting for Exact Globe is possible by entering a different date or transaction date (= reporting date in Exact Globe) in a transaction line.
Exact Online
For Exact Online use the following fields at line level:
From date
Until date
Beforehand the following must be configured in Exact Online under Administration / Settings on the 'Financial' tab:
Set a general ledger account for 'Deferred costs' and 'Deferred revenue'.
Set a journal for 'Deferred revenue/costs'.
More information about accrual/deferral postings in Exact Online can be found in the blog post from Exact.
KING
Accrual/deferral posting for KING is possible by entering a different transaction date in a transaction line.
Microsoft Dynamics 365 Business Central
For Microsoft Dynamics 365 Business Central use the following field at line level:
Number of periods
With the settings in Microsoft Dynamics 365 Business Central the duration in weeks or months is determined and controlled. Use the deferral template for this. Unfortunately the deferral template does not support posting in the past. The period starts on the invoice date. When using transaction templates, Microsoft Dynamics 365 Business Central only supports relative periods starting with 'Upcoming...'.
please note: if you want to automatically create accrual/deferral postings using transaction templates, the extension must be updated to version 1.0.1.1 or higher. Consult this article for more information.
Odoo
For Odoo use the following fields at line level:
From date
Until date
Twinfield
For Twinfield use the following fields at line level:
From financial year and period
Until financial year and period
The general ledger account field is automatically filled with the default general ledger account for accrual/deferral postings configured in the administration settings in Zenvoices (and can be overridden in the transaction screen).
Visma AccountView
For Visma AccountView use the following fields at line level:
From date
Until date
In Visma AccountView it is supported to post accrual/deferral transactions in the next financial year even if that financial year has not yet been created in the accounting package.
Transaction template
A transaction template is created once and acts as a blueprint for future invoices. In this blueprint you can create an accrual/deferral transaction for a fixed period, a relative period (based on the invoice date) or have it taken from an e-invoice. Consult this article for more information.
