Delegated access

Read how delegated access works and how to enable it for your environment.

With delegated access a user or administrator can authorize other users to log in on behalf of another user. This is useful when a user is temporarily absent (for example during vacation or illness) and their tasks need to be taken over.

Delegates can log in as another user with the button 'Log in as another user' in the user menu after the original user or administrator has authorized them to do so.

Assign user permissions

Assign the permissions below to users and/or roles to work with delegated access in your environment:

  • Other | Delegated access | Assign delegates: this gives a user the ability to assign delegates. The option 'Delegated access' will appear in their user menu.

  • Other | Delegated access | Log in as delegate: this gives a user the ability to log in as a delegate. The option 'Log in as another user' will appear in their user menu.

By default only the 'Administrator' user role has these permissions.

Please note: when assigning delegates, all users in the environment with the user permission Other | Delegated access | Log in as delegate are visible to the user.

Assign delegates for a user

A user can assign delegates by clicking 'Delegated access' in the user menu:

As an administrator you can assign delegates for a user by logging in as that user and performing the step above. This is only possible for administrators who have the user permission Pages | Manage | Environment | Users | Log in as other users. Delegates without this user permission can only view a user's delegates and cannot modify them.

Log in as another user

If a user has sufficient permissions, the option 'Log in as another user' will appear in the user menu:

A selection window will then appear showing all accessible users. If a user has the permission Pages | Manage | Environment | Users | Log in as other users, all users will be shown.

After selecting a user, it becomes possible for the user to log in as that user. At that moment the delegate works according to the permissions of that user.

Return to own user

When you are logged in as another user this will be visible in the top right corner and you can return to your own user with the button 'Return to own user'.
