Add an audit report to booking documents

Read how to include the history of, among other things, authorisation and comments as a report when exporting a transaction to your accounting software.

This feature is only available for accounting software packages that support uploading transaction documents.

What is an audit report?

An audit report from Zenvoices is a document attached to a transaction, allowing you to review the following information directly within your accounting software during an audit:

  • Document details (such as administration, journal, supplier/customer name, link to the Zenvoices archive)

  • Origin and history

  • Comments

  • Authorisation history

Enabling the audit report

Enable the administration setting: ‘Append an audit report to documents that are uploaded to the accounting system’ When enabled, transaction documents uploaded to your accounting software will include an audit report. This setting is disabled by default and can be found under: Manage / Organisation / Companies / Edit → ‘Preferences’ tab

An audit report can only be added to PDF documents or documents automatically converted to PDF by Zenvoices (see also the administration setting: Convert documents to PDF when exporting’)

Points of attention

  • The audit report is generated at the moment a transaction is exported to the accounting software. Any changes made to the transaction afterwards will not be reflected in the audit report.

  • The authorisation history is only visible in the audit report if transactions are exported after authorisation.

Updating audit reports during authorisation in the accounting software

Please note: This functionality is currently only supported for Exact Online and Exact Online Bouw.

Per journal, the setting ‘Update audit reports in the accounting software during authorisation’ can be enabled. To activate this, Go to Manage / Organisation / Companies. Click ‘Journals’ for the relevant administration. Click ‘Edit’. Go to the ‘Authorisation’ tab and enable the setting. This option is only visible when both ‘Export transactions before authorisation’, and ‘Append an audit report to documents that are uploaded to the accounting system’ are enabled. When activated, audit reports in the accounting software are updated nightly. In the event of an issue, the system will attempt to update the report for up to three consecutive nights. The final update takes place when the transaction receives the status 'authorised', or 'rejected and completed'.
