Send booking documents to AFAS

Learn how to configure AFAS and Zenvoices so that booking documents are sent along with bookings to AFAS.

You can configure booking documents to be sent together with bookings to AFAS. This allows the booking documents to be viewed directly from AFAS. This option can be configured per administration and is enabled by default.

Please note:

  1. One document with a maximum size of 10 MB is supported per booking.

  2. When using AFAS Small Business, use dossier item type -5 for Purchase invoices and dossier item type 10 for Sales invoices.

  3. Dossier item types where the option 'Dossier items without characteristics allowed' is disabled are not supported.

Configuration

Zenvoices uses dossier items to upload booking documents to AFAS. Per administration you can configure that booking documents should be uploaded and which dossier item types should be used. This can be configured via 'Edit administration' in the tab 'AFAS':

For the purchase dossier item type, -5 is suggested by default. Check in AFAS whether this is the correct dossier item type.

You can use existing dossier item types from AFAS, but it is also possible to create a new dossier item type. This can be done in AFAS via CRM / Dossier / Setup / Dossier item type. Select at least the following options:

  • Number dossier items

  • Attach file

  • Automatically open dossier item attachment (recommended)

Change the destination 'Purchase relation + purchase invoice' and 'Sales relation + sales invoice' to 'Optional'.

If you work with projects, make sure that in the tab 'Extra destination' the destination 'Project' is optional if the administration setting 'Link dossier items to projects' is enabled. If this destination is not allowed, a dossier item cannot be created in AFAS.

Please note: these settings apply to new bookings that are exported to AFAS.

If booking documents are not visible in AFAS, consult the environment log to find the error message that occurs within AFAS.

Only files with the following extensions are sent to AFAS: .pdf, .xls, .xlsx, .doc, .docx, .dxf, .mpp, .ods, .odt, .msg, .ppt, .pptx, .vsd, .vsdx, .xps, .jpg, .jpeg, .png, .gif, .bmp, .eml.

Please note: due to a limitation of AFAS, booking documents cannot be viewed in AFAS from the screen 'Edit bookings' using the button 'Attachment'.
