What is Multi ERP?
Multi ERP allows you to connect multiple accounting or ERP systems to one administration in Zenvoices. This is particularly relevant if you use one system for the procurement process and another for the financial administration. With Multi ERP, you can use our API to supply articles, purchase orders and commitments from a different system. As a result:
Purchase orders can be automatically matched against incoming invoices.
Purchase invoices can be automatically validated.
This eliminates the need to manually transfer data between systems. The process runs automatically, even when working with separate software solutions within your purchase-to-pay workflow.
When Multi ERP is active and the Purchase to Pay module is used, bookings of the type ‘Purchase invoice’ are processed as financial entries in the accounting or ERP system connected to the administration.
For example:
Exact Online is used for the financial administration. However, articles and purchase orders are created and managed in a separate software system.
The articles and purchase orders from this external system are supplied via our API and become available in Zenvoices. Invoices can then be booked in Zenvoices against these articles and matched to the corresponding purchase orders.
When the booking is exported to Exact Online, a financial entry is created instead of a purchase invoice.
Feedback to the ERP system
Using webhooks, a notification can be sent to the ERP system to inform it that a booking has been exported. Subsequently, the booking details can be retrieved via our API. For more information, please consult our API documentation.
Enabling Multi ERP
Multi ERP can be enabled via: Manage / Environment / Administrations → Edit administration → ‘Preferences’ tab. Within the master data source settings, you can specify for articles, purchase orders and commitments whether they should be retrieved from the connected accounting software or supplied via our API.
