The information in this article applies to administrations with the additional Authorisation Management module enabled.
The Authorisation Management module provides a clear workflow for digitally approving invoices. Both simple approval processes and complex automated workflows with multiple employees, levels and conditions are supported. Authorisation can take place via the web portal and/or mobile app, ensuring maximum insight and fast turnaround times.
Authorisation Management is an additional module that can be activated per administration.
Functions and possibilities
The Authorisation Management module offers the following functions and possibilities:
Digital approval of invoices by employees via the web portal or mobile app (Android/iOS).
Employees can approve, reject, forward invoices to other employees and mark them as in progress.
Post invoices to the accounting software before or after authorisation.
Block invoices for payment and automatically release them after authorisation (if supported by the accounting system).
Automatically assign invoices to employees based on various fields (creditor, amount, general ledger account, cost centre, project, etc.).
Manually assign invoices to employees based on a predefined authorisation scheme.
Configure the order in which employees must approve (e.g. multiple employees simultaneously or sequentially).
Employees receive a daily email overview of invoices pending approval.
Configurable authorisation options and permissions per employee.
Employees can add remarks to invoices and ask questions to colleagues by mentioning them in a remark. The mentioned person immediately receives a notification.
Per administration, an overview is available showing which transactions still need approval and which have been rejected.
Each employee has a personal authorisation overview containing all transactions pending approval (across all administrations).
Restrict archive access so employees can only view authorised transactions.
Allow employees to authorise on behalf of absent colleagues (delegated access).
Modify transactions during authorisation if they have not yet been exported to the accounting system.
Per transaction, view the authorisation status per employee including date and time.
The authorisation history is logged in an audit report.
Enable module
Go to: Manage / Company / Authorisation schemes and click Create new authorisation scheme to activate the module.
